How to Connect Your Bank Account to QuickBooks Online
This article covers initial connection, reconnecting after a break, and what to do if your bank is not supported.
What You'll Need
- Admin access to your QuickBooks Online account
- Your online banking username and password
- The names of the accounts you want to connect (checking, savings, credit card)
Normal Procedure
- In QuickBooks Online, go to Transactions and select Bank Transactions.
- Click Connect account for your first account, or Add account to add additional ones.
- Search for your bank by name.
- Enter your online banking username and password when prompted.
- Select the specific accounts you want to connect.
- Choose a start date for importing transactions. NCO recommends 90 days back, or your business start date if the business is newer than 90 days.
- Click Connect. QuickBooks will begin importing transactions automatically and refresh daily going forward.
Abnormal Procedures
- Bank not found in QuickBooks: Use the manual CSV upload option. Log in to your bank's online portal, download a statement as a CSV file, then go to Transactions, Bank Transactions, Upload transactions in QuickBooks and follow the prompts.
- Connection breaks after a password change: Bank connections disconnect when your banking password changes or your bank updates its security settings. Reconnect by going to Bank Transactions, clicking the broken connection, and re-entering your updated credentials.
- Duplicate transactions appear: This happens when transactions were manually entered and then also imported. In the bank feed, match the import to the manual entry and exclude the duplicate. Flag it to NCO if you are unsure which to keep.
FAQs
Will QuickBooks automatically categorize my transactions?
QuickBooks suggests categories based on merchant names and prior patterns, but NCO reviews and confirms all categorizations during the monthly close. Do not assume suggestions are final or correct.
How often does QuickBooks pull in new transactions?
Usually daily, but timing depends on your bank. You can manually refresh the feed by clicking Update in the Bank Transactions screen.
Is it safe to connect my bank to QuickBooks?
Yes. QuickBooks uses read-only access to import transactions. It cannot initiate transfers or move money.
